When you contact the lodge.
An enquiry includes your name, email address and message. For a group stay, an estimated guest count helps us discuss suitable accommodation. You can also choose to share a phone number, dates, room preferences or other details relevant to your plans.
The operator of this website is Gordon & Karen Divine trading as Copper Horse Lodge.
We use the details you provide to respond and discuss your request. Website enquiries are stored in Webflow and emailed to bookings@copperhorselodge.ca through Microsoft 365. These Webflow and mailbox copies have no routine deletion schedule.
Please share only what is needed: do not include payment-card details, passport copies or medical records. For access questions, describe the practical features you need.
When you book a stay.
Booking links open the lodge’s hosted Cloudbeds booking engine. Enter reservation and payment information there, and review the notices and terms shown during booking. Sending an enquiry does not reserve a room or take a payment.
Lodge staff use Cloudbeds to serve guest reservations. Arrival communications are delivered by email and text through Cloudbeds notifications and its guest portal. Operto is used internally to support lodge operations.
For guest identity verification, the lodge asks for a selfie and a copy of government-issued identification through Cloudbeds. Please do not send these documents through a website enquiry form.
Guest reservation records are kept in Cloudbeds. We do not use guest information for marketing.
Cloudbeds provides its own privacy information about its service. Contact the lodge with questions about how your guest information is used in connection with your stay.
Restaurant and other external links.
The Jeffrey Room is independently operated. When you contact the restaurant or visit its website, you are dealing with that operator. Tell us if your lodge enquiry includes a request to discuss restaurant arrangements.
Links to activity operators, destinations and travel services open those providers’ websites. Check the provider’s privacy information before sharing personal details with it.
Questions, corrections and choices.
You can ask about the personal information the lodge holds about you, request a correction or raise a concern about its handling. You can also ask about withdrawing consent for a particular use and what that would mean for the service you have requested.
We do not use guest information for marketing. We act on deletion requests within 72 hours of receiving them. This means reviewing the request and taking the appropriate action. Some information may need to be retained to complete a reservation, resolve an outstanding balance or meet legal and accounting requirements.
