Start with the decisions that affect everyone.
Confirm the venue and wedding date, then identify the people you want staying together. Share a rooming outline with the lodge before sending guests a booking instruction.
| Planning step | Decision to settle |
|---|---|
| Venue and date | Ceremony, reception, gathering point and return arrangements. |
| Guestroom plan | Overnight guests, separate bedrooms and who shares each bed. |
| Booking process | Who reserves, how rooms are allocated and the agreed terms. |
| Meals and gathering | Welcome or farewell plans and any private restaurant arrangement. |
| Guest schedule | Arrival, event meeting points, optional outings and departure. |
Count bedrooms and beds as well as guests.
Copper Horse has king and two-queen rooms across eleven guestrooms. A couple sharing a king, friends needing separate beds and a family sharing two queens each use the accommodation differently. List the sleeping arrangements before asking for a room grouping or whole-lodge stay.
Send the wedding date, arrival and departure patterns, estimated guest count and rooms required. Flag access needs before allocating rooms. Agree whether one organiser will manage the booking or guests will reserve individually, using the terms confirmed with the lodge.
For Eagle’s Eye, include the gondola journey.
Kicking Horse’s wedding information describes guests gathering in Kicking Horse Plaza before boarding the Golden Eagle Express for Eagle’s Eye. From Copper Horse, plan the short walk toward the resort base using the wedding organiser’s confirmed instructions.
Your venue schedule should include the pre-ceremony meeting, gondola arrangements, return descent and weather contingency. Give the wedding party and suppliers any earlier call times they need. Accommodation and the resort venue remain separate bookings.
Make arrival evening welcoming and workable.
Self check-in begins at 4pm. Guests should have their booking’s arrival instructions before travelling, especially when arriving in separate vehicles. Schedule a welcome event with room for the longest journeys and arrange any earlier room-access requirement in advance.
The independently run Jeffrey Room can discuss catering and restaurant buyouts for a welcome meal or another gathering. Give the date, seated number, timing and dietary needs. Agree the restaurant arrangement separately from the accommodation.
Send one useful weekend schedule.
A two-night outline might be arrival and a welcome meal, the wedding day and second lodge night, then departure. Add an earlier night if preparation or venue timings require it. This is an example to adapt with your actual bookings.
- Lodge address, check-in time and where guests find their arrival instructions.
- Who to contact about guestrooms and who handles the wedding schedule.
- Venue meeting point, departure time and return transport or lift plan.
- Which meals are arranged and which guests organise themselves.
- Optional activities with their own booking requirements.
- Check-out at 11am and each guest’s onward transport.
Give suppliers and guests the details for their own role.
Use the venue’s requirements and Tourism Golden’s supplier directories when choosing planners, photographers, commissioners or catering. Confirm who handles setup, deliveries and collection at each location, so those jobs have an agreed owner.
Before sharing the final schedule, check the rooming list, venue timings, restaurant arrangements and transport together. The lodge’s self-serve snack bar suits guests moving at different speeds the morning after; arrange a hosted farewell meal separately if that is part of your plan.
